1. Who we are 
 

Adventix Limited ("Adventix", "we", "us" or "our") is a recruitment and workforce solutions company registered in England and Wales under company number 10552449, with its registered office at 6th Floor, 2 London Wall Place, London EC2Y 5AU. We operate as an employment business and employment agency in the United Kingdom and are part of the Acro group of companies, whose principal company is Acro Service Corporation, based in Livonia, Michigan, United States. 
 

Adventix is the controller of the personal data described in this notice, which means we decide how and why it is used. We are registered with the Information Commissioner's Office (ICO) under registration number ZB419147. This notice supplements the Acro Global Privacy Policy, which applies across the Acro group, by describing how personal data is handled specifically in Adventix's UK operations. Where we process personal data on behalf of a client under a contract for services, the client is the controller and we act as their processor; in those cases the client's own privacy notice will also apply.

2. Who this notice applies to 
 

This notice explains how we collect and use personal data about: 
 

• candidates and applicants who register with us, apply for a role, or are introduced to us by a client, a job board, a referrer or a social or professional network; 

• temporary workers, contractors and permanent placements we engage or place with our clients; 

• referees and emergency contacts named by candidates and workers; 

• client contacts, hiring managers and supplier contacts we deal with in the course of business; and 

• visitors to our website, www.adventix.co.uk. 
  
   

3. The personal data we collect 
 

Depending on your relationship with us, we may collect and hold the following categories of personal data: 
 

• Identity and contact details: name, title, date of birth, address, email address, telephone numbers and, where required, photographic identification. 

• Recruitment information: CV, employment history, qualifications, skills, professional memberships, references, interview notes, assessment results, salary expectations and work preferences. 

• Right to work and vetting information: passport, visa, share code or other Right to Work evidence; and, where a role requires it, Disclosure and Barring Service (DBS) checks, professional registration checks and other role-specific screening. 

• Engagement and payroll information: National Insurance number, bank account details, tax code, timesheets, pay and expenses records, pension and benefits information, and details of assignments and placements. 

• Special category data: information about health or disability (for example to make reasonable adjustments or manage sickness absence), and diversity monitoring information such as ethnicity, religion and sexual orientation, which we collect only where the law permits and, for diversity monitoring, only on a voluntary basis. 

• Criminal records information: where a role requires a DBS or equivalent check, in accordance with the DBS code of practice and applicable law. 

• Business contact information about client and supplier personnel: name, job title, employer, business contact details and records of our dealings with you. 

• Website and technical data: IP address, browser type, device information and, subject to your cookie preferences, information about how you use our website (see section 10). 
   

We collect most of this information directly from you. We also receive personal data from clients, referees, job boards and CV databases, professional networking sites, screening and background-check providers, HMRC and other public bodies, and other Acro group companies.

5. Who we share your personal data with 
 

We share personal data only where necessary for the purposes above, and only with: 
 

• Clients and prospective clients, so that they can consider you for a role or engage you through us. We share only the information needed for that purpose, and where you are a candidate we will not send your details to a client without telling you first. 

• Other companies in the Acro group in the United States and India, which provide recruitment, compliance, technology, finance and administrative support to Adventix under our shared group operating model. Section 6 explains how this is protected. 

• Service providers who process data on our behalf, including Microsoft (hosting of RiteSource and the group finance system), Wix (hosting of our website), payroll and umbrella providers, background screening and DBS providers, IT support providers, and professional advisers. These providers act on our written instructions and are contractually required to keep your data secure. 

• Referees, where you have provided their details, and previous employers and educational institutions for the purpose of verifying your history. 

• HMRC, the Disclosure and Barring Service, the Home Office, pension providers, regulators and law enforcement, where we are required to do so by law. 

• Any person to whom we sell or transfer all or part of our business, subject to the same protections. 
   

We do not sell your personal data. 

 

 

6. International transfers
 

Adventix is a UK company, but because it operates as part of the Acro group, the systems on which your personal data is held are located in the United States. Candidate and worker records are held in the group's applicant tracking system, RiteSource, hosted in a Microsoft Azure data centre in the United States, and payroll, invoicing and accounting records are held in the group's finance system, also hosted in the United States. 
 

Your personal data is accessed by Acro group personnel located in the United States and in India who provide recruitment, technology, finance and administrative support to Adventix. In the United States this is Acro Service Corporation. In India this is Acro Technology India Private Limited, which develops and supports RiteSource, and Acro HR Solutions India Private Limited, which provides recruitment and accounting support. All group personnel who access your data do so under the same confidentiality, security and training requirements that apply within Adventix.
 

Neither the United States nor India is covered by UK adequacy regulations, so these transfers are made under the Information Commissioner's International Data Transfer Agreement entered into between Adventix Limited and the Acro group companies named above, supported by a transfer risk assessment and the technical and organisational measures described in section 8. Transfers to service providers outside the UK are made under the same agreement or the UK Addendum to the EU Standard Contractual Clauses. Where a client's contract restricts overseas access to personal data processed on that client's behalf, we comply with that restriction. You can request a copy of the safeguards we rely on by contacting us using the details in section 1. ​​​​
